Event Overview & Ethos

North West Ecofest is a zero-waste, two-day event dedicated to sustainability. The festival prioritises vendors who demonstrate environmentally friendly practices aligned with the event’s core values.

Key Requirements & Waste Standards
  • Zero-Waste Mandate: Single-use plastics—including plastic bags and plastic water bottles—are strictly prohibited.

  • Packaging: The event supplies reusable plates, bowls, and tumblers for patrons. Vendors must use approved compostable packaging or wooden/bamboo cutlery as a backup.

  • Beverages: Acceptable formats include cans, glass bottles, compostable cups, and refillable containers. Free water refill stations are provided on-site.

  • Waste Management: Food vendors are required to take all operational waste off-site for proper sorting and recycling.

  • Vendors please supply bamboo cutlery no BIO plastics

  • The "Waste NOT Hub" is for festival patron waste sorting ONLY

Stall Options & Pricing (Two-Day Commitment)

Participation requires attendance on both days. Vendors may leave secured food vans on-site overnight; professional security patrols are provided.

  • Solar Power (Fully Sustainable): $100

  • Vendor Generator: $300

  • Event Power: $350

Note: Power and water requirements must be requested during application. Electrical leads must be tagged and compliant.

Compliance & Menus

Applicants must submit and display:

  • Food Handling Supervisor Certificate

  • Current Public Liability Insurance

  • Food Act 2003 / ANZ Food Standards compliance

Preference is given to vendors offering clear dietary options (Gluten-Free, Vegetarian, Vegan).

Timeline & Logistics
  • Applications & Payment: Applications open in Spring. Notifications are issued in January, with invoices due in early February to confirm site placement.

  • Bump-In Times:

    • Friday: 4:00 PM – 6:00 PM

    • Saturday: 7:00 AM – 8:00 AM

  • Bump-Out Time: Sunday after 4:00 PM (or once pedestrians have cleared).

  • Site Rules: Vehicles are restricted on the inner grounds outside designated bump-in/out hours. Tow vehicles must park in the public carpark.

  • Transactions: Vendors must accept both cash and digital payments (no ATMs on-site).
