Event Overview & Ethos

North West Ecofest is a zero-waste, two-day event dedicated to sustainability. The festival prioritises vendors who demonstrate environmentally friendly practices aligned with the event’s core values.

With past festivals gaining over 2,000 people through the gate, you have the opportunity to share and grow your business with us. We prioritise exhibitors whose ethos aligns with ours as we work together toward a sustainable future.

Key Requirements & Waste Standards
  • Zero-Waste Mandate: Single-use plastics—including plastic bags and plastic water bottles—are strictly prohibited.

  • Packaging: The event supplies reusable plates, bowls, and tumblers for patrons. Vendors must use approved compostable packaging or wooden/bamboo cutlery as a backup.

  • Beverages: Acceptable formats include cans, glass bottles, compostable cups, and refillable containers. Free water refill stations are provided on-site.

  • Waste Management: Food vendors are required to take all operational waste off-site for proper sorting and recycling.

  • Vendors please supply bamboo cutlery no BIO plastics

  • The "Waste NOT Hub" is for festival patron waste sorting ONLY

Compliance & Menus

Applicants must submit and display:

  • Food Handling Supervisor Certificate

  • Current Public Liability Insurance

  • Food Act 2003 / ANZ Food Standards compliance

Preference is given to vendors offering clear dietary options (Gluten-Free, Vegetarian, Vegan).

                  Timeline & Logistics​

 

We will email site maps and your designated zone prior to the event.

  • Applications & Payment: Applications open in Spring. Notifications are issued in January, with invoices due in early February to confirm site placement.

  • Bump-In Times:

    • Friday: 4:00 PM – 6:00 PM

    • Saturday: 7:00 AM – 8:00 AM

  • Bump-Out Time: Sunday after 4:00 PM (or once pedestrians have cleared).

  • Site Rules: Vehicles are restricted on the inner grounds outside designated bump-in/out hours. Tow vehicles must park in the public carpark. Vehicle Movements: 

  • Transactions: Vendors must accept both cash and digital payments (no ATMs on-site).

  • Attendance: Exhibitors must commit to attending both days of the festival.​

           

           Overnight Site Security​

  • We provide professional night security patrols for the entire site.

  • Outside exhibits must be fully secured against weather conditions using adequate weights or pegs.

  • Secure all perishables and breakables in lidded tubs to protect them from local wildlife (possums and wallabies).

  • Do not leave cash on the premises overnight.

Accommodation: Make a weekend of it! Camp Clayton offers overnight accommodation packages for exhibitors staying Friday and/or Saturday nights.

TIME FRAME:

This year we anticipate vendors will be notified of their application outcome in January, with payment due early February. Payment of invoice will secure your site.

ZERO-WAsTE

Our festival is Zero-Waste. We use our discretion to select vendors who promote earth-friendly food. All vendors must adhere to our policy of zero-waste management outlined further down the page.

TWO-DAY Festival Commitment

Our festival runs on Saturday the 4th and Sunday the 5th of April in 2027, and all vendors are required to stay for this period.

Solar Power: -> $100 (Fully Sustainable)

Vendor Generator: -> $300

Event Power: ->  $350

*Participation requires attendance on both days. Vendors may leave secured food vans on-site overnight; professional security patrols are provided.

*Power and water requirements must be requested during application. Electrical leads must be tagged and compliant.

Entry Tickets:

Each food vender spot includes two free admissions. To ensure the financial viability of our volunteer-run, non-profit festival, any additional staff must purchase general admission tickets.

Please provide both cash and digital payment options on your stall for patrons, as there is no ATM on-site.
